Kendiel Privacy Policy

This Privacy Policy explains how Kendiel processes personal data when used as a school management platform.

1. Scope

This policy applies to Kendiel, including its web and mobile applications. Kendiel is designed for schools and educational administrators.

2. Information We Process

2.1 Account and identity data

Name, email address, phone number, profile photo, user role, and account timestamps.
Authentication data through email/password and optional Google Sign-In.

2.2 Student and academic data

Student profile information such as full name, contact details, date of birth, gender, notes, and profile photo.
Class enrollment history, class assignments, schedules, and class attendance performance.
Session and attendance records, including who marked attendance and when.

2.3 Financial and payroll data

Invoices, payments, credits/debts, payment notes, approvals/rejections, and refund/reversal history.
Expense records including amount, class association, remarks, and authorization decisions.
Payroll profiles and payroll records, including compensation amounts and approval workflows.

2.4 Documents and attachments

Files explicitly uploaded by users (for example receipt photos or PDFs).
File metadata such as content type and storage path.

2.5 Operational and audit data

Audit log entries capturing who changed records, what changed, and when.
Limited local app settings (for example theme and UI preferences) stored on-device.

3. How We Use Data

To authenticate users and enforce role-based access (director, secretary, teacher).
To run school operations: enrollment, class management, attendance, billing, expenses, and payroll.
To generate receipts/reports and maintain transaction consistency and auditability.
To support search features and system maintenance.

Kendiel processes data for core school operations, not for third-party advertising.

4. Data Sharing and Service Providers

We use subprocessors to provide the app:

Google Firebase services (Authentication, Firestore, Cloud Storage, Cloud Functions).
Algolia for search indexing and retrieval inside the app.

We do not sell personal information. Data may be shared when required by law or to protect the security and integrity of the service.

5. App Permissions and Device Data

Internet: required to sign in and sync data with backend services.
Files: used only when users explicitly choose files to upload or choose a location to save downloaded files.

Kendiel does not request location, contacts, microphone, or Bluetooth permissions in its current configuration.

6. Retention

Data is retained for as long as needed to operate school workflows, maintain records, and meet legal/accounting obligations. Retention periods may vary by school policy and applicable law.

7. Security

Authenticated access controls are enforced for data operations.
Role-based access is applied in application logic and workflow approvals.
Data is transmitted over encrypted channels supported by platform providers.

8. Children and Student Data

Kendiel is intended for school administration. Student information can include data relating to minors and is handled as educational record data under the school's authority. Schools using Kendiel are responsible for providing required notices and obtaining any needed consents.

9. Your Privacy Choices

Access, correction, and deletion requests should be submitted to the school or organization that manages your account in Kendiel. That organization controls day-to-day records in its workspace.

10. International Processing

Kendiel uses cloud infrastructure providers that may process data in different regions depending on service configuration and user location.

11. Updates to This Policy

We may update this policy as features or legal requirements change. The “Last updated” date at the top indicates the latest revision.
